Desktop AI goes operational

Desktop AI is moving out of the browser and into day-to-day work on the Mac desktop. OpenAI and Google both shipped updates in April that put their assistants closer to email, calendars, files, and whatever is already on screen. (help.openai.com) (blog.google) OpenAI’s April 8 release notes said ChatGPT and ChatGPT Business can now work with shared Outlook mailboxes and shared calendars, including reading team inboxes, moving messages, sending plain-text email, and creating or updating calendar events when a user has the right Microsoft permissions. The same release notes said workspace admins may need to approve the new actions and some users may need to reconnect Outlook after the change. (help.openai.com 1) (help.openai.com 2) OpenAI’s desktop push has been building for months on macOS. Its Mac app release notes say the app can edit code directly in an integrated development environment, work alongside note-taking and coding apps including Apple Notes, Notion, Quip, Warp, Cursor, Windsurf, and JetBrains tools, and use a companion window for side-by-side work. (help.openai.com) Google made the competitive move on April 15 with a native Gemini app for Mac. Google said the app is available globally at no cost for Macs running macOS 15 or later, and it opens with the Option + Space shortcut so users can call it up without leaving the app they are using. (blog.google) (gemini.google.com) Google’s pitch is screen-level context. Its launch post and help page say Mac users can share a window with Gemini so it can summarize charts, answer questions about local files, draft text, brainstorm ideas, and help with coding, as long as the Mac has macOS Sequoia 15.0 or later, at least 8 gigabytes of memory, and 200 megabytes of free storage. (blog.google) (support.google.com) The product changes are landing as both companies try to make their assistants part of office software instead of a separate destination. OpenAI’s April notes tied ChatGPT more tightly to Outlook and introduced new Codex-only seats for ChatGPT Business, while Google described the Mac app as a way to cut down on switching between windows. (help.openai.com) (gemini.google.com) The operating model is also getting more specific by platform. OpenAI’s recent notes span Mac, Windows, iPhone, and even Apple CarPlay, while Google’s new desktop release is Mac-only for now and depends on Apple’s latest desktop operating system. (help.openai.com 1) (help.openai.com 2) (support.google.com) Google has also been trying to lower switching costs for users already attached to another assistant. Gemini’s March 26 update added tools to import chat history and user preferences from other AI apps into consumer Gemini accounts, a sign that desktop competition is now tied to retaining workflow history as much as model quality. (gemini.google.com) The result is a desktop race centered less on one-off prompts and more on operational access: inboxes, calendars, code editors, notes, and the active window in front of the user. On April 20, 2026, the clearest signal is that both companies are shipping around the workday, not around the chat box. (help.openai.com) (blog.google)
